120th AGM 2025 - Burnside West Christchurch University Cricket Club

Burnside West Christchurch University Cricket Club | September 30, 2025

The 120th Annual General Meeting opened at 7.30pm on Tuesday the 23rd September with an extended agenda due to the new constitution needing to be adopted.

Peter Hay opened the meeting with a welcome address and then we observed a minutes silence in respect of the members who has passed during the season.

The 120th annual report and draft accounts can be found here.

The 119th AGM minutes was approved, and the 120th Annual Report was adopted and Peter Hay summed up the year saying that several members received awards at the Christchurch Metro awards, regional, and national levels, including Gareth Gibson (Administrator of the Year), Matthew Hay (Premier Player of the Year), and Henry Christie (U20 Batsman of the Year).

Darron Stackhouse received the NZC Dulux Award for coaching, and Chris and Erin Bond received a Community Award for junior cricket service. The player pathway continues to flourish with Tom Latham test captain and Will O’Rourke as established Black Caps members, and Mitchell Hay and Izzy Sharp making international debuts.

Other players earned professional contracts and are involved in Canterbury representative sides. Peter emphasized the importance of members having fun, especially junior teams, and thanks coaches, managers, and supporters. The full integration of North West Women’s Cricket under Burnside’s governance has been positive, and the North West Youth Cricket partnership provides valuable opportunities.

Financially, the club achieved a small surplus, though it remains reliant on business partners and grants, with subscriptions covering less than 20% of operating costs. While Burnside Park’s facilities are well-maintained, the clubrooms and changing facilities are aging and inadequate for the growth of Youth and Women’s cricket. Discussions are underway for a potential centralized community complex.

Peter thanked all volunteers and the committee for their dedication. It also acknowledges the passing of several members, including club legend Brian Hastings, Brian Adams QSM, Michael Phillips, David Trist, and Phoebe D’Arcy-Slade. Looking ahead to the 2025/26 season, the club focuses on fostering talent and aligning with the new Incorporated Societies Act 2022, which will lead to a modernized club constitution for greater transparency and a successful future and looking forward to the upcoming summer.

Scott Inglis provided his last Treasurer’s report for his first term as Treasurer as he was standing down after over 6 years in the role. Scott will continue to serve on the committee.

Scott first became acting treasurer in May 2019 taking over from Angus Harman. Scott thanked Vanessa Robertson for all her hard work through last season.

The Treasurer’s Report indicates a strong financial year with a modest surplus of just under $5,000. Income streams are diverse, with grant funding accounting for 31% ($77,000) of the total, supplemented by increased sponsorships, community donations, and fundraising. Expenses are carefully managed, with key investments in coaching, ground preparation, equipment, and clothing. A significant challenge is the rising cost of paid services, which increased by 5% this year to over $100,000 (40% of total income), reflecting a decline in volunteer availability. Acknowledgements are extended to sponsors, grant providers, donors, committee members, and volunteers for their unwavering support. While the draft accounts were yet to be ‘reviewed’ by Nexia, Scott felt that were very little adjustments.

Gareth Gibson introduced the constitution changes and after some discussion the club adopted the new constitution.

The election of officers to the club saw Peter Hay – Chairperson, Gareth Gibson – Secretary and Vanessa Robertson – Treasurer all elected unopposed as officers of the club and new committee was elected.

In general business Shane Young spoke on the pavilion upgrade program. We have had two meetings with the council recently, and with FC2011. Conceptually stakeholders are happy, so the next phase is detailed design. Phase 1 would be the renovation of the storage and changing areas. FC2011 will be required to demolish their existing storage shed so that a new 4-bay storage shed can be constructed in its place. We need FC2011’s buy in on this concept, as well as agreement on leaser/ownership agreement.

Alan Alty enquired about the strength of the relationship with the university. Shane Young responded that our relationship remains strong. There are no current plans to progress extended use of Ilam Fields. We continue to get access to video analysis technology from the university. We have ties into the sports programs and university facilities.

Graeme Campbell raised a concern/awareness around sports betting on live streaming of matches.

Meeting was closed at 8.11pm
